This Refund & Cancellation Policy outlines the terms for cancellations and refunds for our dentist empowerment subscription services. BookMyDentist does not charge patients for appointments; this policy applies exclusively to subscription fees paid by dentists for access to our comprehensive suite of practice growth tools, resources, and support services.

Important Notice

BookMyDentist operates as a free platform for patients. We do not collect booking fees, consultation fees, or treatment fees from patients. All patient payments are made directly to the dental clinic. This refund policy applies only to subscription fees paid by dentists and dental clinics to access our comprehensive dentist empowerment system, which includes practice visibility, patient booking tools, business resources, professional development, and ongoing support.

Dentist Subscription Services

Subscription Plans

BookMyDentist offers subscription plans that provide dentists and dental clinics with a comprehensive empowerment system including: enhanced practice visibility, automated patient booking management, AI-powered communication tools, business growth resources, professional development opportunities, and dedicated support. Subscription fees vary based on the plan and features selected.

7-Day Money-Back Guarantee

  • Within 7 days of initial signup: You are eligible for a full 100% refund of your subscription fee if you are not satisfied with our services, provided:
    • Your profile has not received any confirmed patient bookings
    • You have not violated our Terms of Service or platform policies
    • Your request is submitted within 7 calendar days from the date of payment
  • To request a refund within the 7-day period, email info@bookmydentist.org with your subscription details and reason for cancellation.

Cancellation After 7-Day Period

  • After 7 days: Subscription fees are non-refundable. However, your profile will remain active and you will continue to receive all benefits until the end of your current billing period.
  • You can cancel your subscription at any time to prevent future renewals. The cancellation will take effect at the end of the current paid period.
  • No pro-rated refunds are provided for partial months or unused portions of annual subscriptions.

Annual vs. Monthly Subscriptions

  • Annual subscriptions: Paid upfront for 12 months. The 7-day money-back guarantee applies. After 7 days, no refunds for the remaining period.
  • Monthly subscriptions: Billed monthly. The 7-day money-back guarantee applies only to the first payment. Subsequent months follow standard cancellation terms.

Auto-Renewal Policy

  • All subscriptions (monthly and annual) automatically renew unless you cancel before the renewal date.
  • You will receive email notifications:
    • 30 days before renewal (for annual plans)
    • 7 days before renewal (for all plans)
  • To avoid auto-renewal, you must cancel your subscription at least 24 hours before the renewal date.
  • If you cancel after the renewal charge has been processed, the payment is non-refundable, but your subscription will not renew for the subsequent period.

Account Suspension or Termination

  • If your account is suspended or terminated due to violations of our Terms of Service, Community Guidelines, or platform policies, no refund will be provided for the remaining subscription period.
  • Violations include but are not limited to: fraudulent activity, misrepresentation of credentials, harassment, or failure to comply with professional standards.
  • In cases of non-payment (for invoice-based plans), your account may be suspended, and no refund will be issued for any partial services rendered.

Plan Upgrades & Downgrades

Upgrading Your Plan

  • You may upgrade to a higher-tier subscription plan at any time.
  • When upgrading, you will be charged the pro-rated difference for the remaining period of your current subscription.
  • Upgraded features and benefits will be available immediately upon payment confirmation.

Downgrading Your Plan

  • You may downgrade to a lower-tier subscription plan at any time.
  • The downgrade will take effect at the end of your current billing period. No partial refunds are provided for the difference in plan pricing.
  • You will continue to enjoy the benefits of your current plan until the billing period ends.

Refund Processing

  • All eligible refunds will be processed to the original payment method used for the transaction.
  • Processing time: 5-7 business days from the date of cancellation approval.
  • Additional time may be required by your bank or payment provider to credit the refund to your account (typically 3-5 business days).
  • You will receive an email confirmation once the refund has been initiated.

Force Majeure & Special Circumstances

In cases of unforeseen circumstances including but not limited to natural disasters, medical emergencies, pandemics, government restrictions, or other force majeure events:

  • Dentists may be eligible for subscription extensions, refunds, or special accommodations, subject to verification of the circumstance.
  • Documentation may be required (medical certificates, government orders, natural disaster declarations, etc.).
  • Each case will be reviewed individually, and BookMyDentist reserves the right to make exceptions to standard policy in extraordinary situations.
  • Force majeure circumstances do not automatically void payment obligations, but we will work with you to find a reasonable solution.

Non-Refundable Items

The following are non-refundable under all circumstances:

  • Subscription fees after the 7-day money-back guarantee period
  • Auto-renewal charges processed after the cancellation deadline (24 hours before renewal)
  • Fees for accounts suspended or terminated due to policy violations
  • Pro-rated portions of subscriptions when downgrading plans
  • Payment processing fees charged by payment gateways (typically 2-3% of transaction value)
  • Setup fees or one-time onboarding charges (if applicable to specific plans)
  • Additional services or add-ons purchased separately from the base subscription

How to Request a Refund

To request a refund within the 7-day money-back guarantee period:

  2. Include the following information in your email:
    • Your full name and registered email address
    • Your application/subscription ID
    • Date of payment
    • Reason for requesting a refund
    • Original payment method details (for verification)
  3. Our support team will verify your eligibility and respond within 24 hours (1 business day).
  4. If approved, the refund will be processed within 5-7 business days to your original payment method.
  5. You will receive email confirmation at each stage: request received, approval/denial, and refund processed.

Disputes & Complaints

  • We aim to resolve all disputes within 7-10 business days.
  • For billing discrepancies or unauthorized charges, please notify us within 30 days of the charge date.
  • If a resolution cannot be reached through our support team, you may refer to our Terms & Conditions for formal dispute resolution procedures.
  • Payment gateway disputes (chargebacks) should be avoided when possible. Please contact us first to resolve any issues, as chargebacks may result in account suspension.

The "Last Updated" date at the top indicates when this policy was last revised. Continued use of our services after changes constitutes acceptance of the updated policy.
